How a company starts

From an empty account to a working team in four steps.

  1. A LiftexPro administrator creates the company (name, UIC, address) and invites its first manager. Companies are not self-created: write to us and we set it up the same day.
  2. The manager signs in with their email and invites colleagues: managers, technicians and building managers.
  3. The manager enters the sites (buildings) and their lifts. Send us your list in whatever form you have it and we enter it.
  4. Technicians install the app and accept the invitation. From then on tasks, visits and each lift's log are in the system.

There are no passwords. Everyone signs in with their email: we send a code (valid 15 minutes) and a direct sign-in link.

02

Roles: who sees what

  • LiftexPro administrator: the LiftexPro team. Creates companies and sees all of them. Not grantable by invitation.
  • Manager: runs their company: sites, lifts, tasks, team, contracts, invoices, accounting, payroll and settings. One person can manage several companies and switch between them.
  • Technician: works from the app: sees their own tasks, records on-site visits (with GPS), fills the checklist, takes photos and the customer's signature. Does not see accounting or other people's tasks.
  • Building manager: a customer of the company, not staff. Sees only the lifts of the buildings they are linked to: last maintenance, next inspection, faults and repairs. Reports faults. Does not see other buildings, customers, prices or the team.
03

A new company

Created by a LiftexPro administrator.

  1. Dashboard → Companies → New company.
  2. Name, UIC, VAT number, address, city, phone, email → Save.
  3. Open the company → Employees → Invite employee: the manager's email, role "Manager" → Invite.

The UIC and address are printed on invoices and payslips, so enter them exactly.

04

Inviting colleagues and technicians

  1. Dashboard → Companies → your company → Employees → Invite employee.
  2. Email and role: Manager, Technician or Building manager.
  3. They receive a letter with an "Accept the invitation" button, valid for 7 days, then sign in with their email and a code.

The technicians' app: iPhone, LiftexPro on the App Store; Android, liftexpro.com/app.apk (Google Play is coming).

If the letter does not arrive, check the spam folder or send the invitation again; the new one replaces the old.

05

Building managers

A building manager sees the lifts of their building and reports faults straight to you. They are added to a building, not to the company.

  1. Dashboard → Sites → the building → "Building managers" → Add building manager.
  2. Email, first name, last name and phone. If the person already has an account with this email (for example the manager of another of your buildings), the email is enough.
  3. They get a letter saying which building, which company and how to sign in, at liftexpro.com/login or in the LiftexPro app.
  4. Under "My buildings" they see their lifts, the last maintenance, the next inspection and the faults. "Report a fault" creates a task for you (normal, urgent or emergency).
  5. Removing: the same section → Remove. With none of your buildings left they are no longer the company's building manager.

A colleague (manager or technician) cannot also be a building manager with the same email; they use a personal one.

To see it from their side without creating an account: demo.liftexpro.com → "Building manager".

06

Sites, lifts and tasks

  • A site is the building (address, contact, customer); its lifts carry a registration number, type, manufacturer and floors.
  • Every lift has a log: monthly maintenance, annual inspections with their protocol, repairs. Upcoming and overdue ones stand out.
  • Managers create tasks: maintenance, repair, emergency, installation, modernization. Technicians see them in the app and record GPS presence, checklist, photos and signature on site.
  • Maintenance contracts with customers generate the monthly invoices in one click.
07

Accounting

The module covers the accounting of a small or mid-size service company. Everything is per company; two companies never see each other.

  • Chart of accounts: the national chart is created in one click; accounts can be added and edited.
  • Invoices: issued with gapless numbering, payments, credit notes, generated from contracts, printed or saved as PDF from the browser.
  • Purchases: incoming invoices (also from a photo AI reads), approval, payments.
  • Journal: manual and recurring entries; AI suggests the accounts to post to.
  • VAT: sales and purchase journals, the monthly VAT return and the DEKLAR, PRODAGBI and POKUPKI files for the NRA portal; art. 117 protocols; Intrastat.
  • Payroll: employees, monthly payroll, 2026 statutory contributions, payslips, leave, employment contracts; an approved payroll posts itself.
  • Fixed assets with depreciation, cash and bank accounts with CSV statement import and reconciliation, budgets, cost centers, currencies.
  • Excel reports: trial balance, entries, balance sheet, income statement; periods closed by month and year.
08

Document types

  • Ready: invoice and credit note, journal entry, payroll sheet (also in Excel), payslip, art. 117 VAT protocol, VAT return, purchase and sales journals, trial balance, balance sheet, income statement.
  • The chart of accounts is one per company: the national one plus your own accounts.
  • Custom document types (your own template) are not created from the screen. If you need a document that is not there, describe it and we add it.
09

Payroll and payslips

  1. Accounting → Payroll → Employees: name, personal ID, position, gross salary, IBAN and whether born before 1960 (then no second pillar).
  2. Payroll → New payroll: the month and the company's work-accident rate (0.4–1.1% by its main activity; kept for later months) → Generate.
  3. Check the lines → Approve. An approved payroll is posted.
  4. Payslips → print all payslips of the month or one employee's. Excel → the payroll sheet for the accountant.

Contributions follow the 2026 law: the employee pays 13.78% (social 8.38% + second pillar 2.2% + health 3.2%, or social 10.58% + health 3.2% if born before 1960) and 10% tax on the rest. The insurable income is capped at 2,111.64 € until 31.07.2026 and 2,300 € from 01.08.2026.

The amounts for declarations form 1 and form 6 are calculated from the approved payroll.

10

Where data and documents are kept

  • On our own servers in the European Union (Hetzner, Helsinki, Finland): the database and the files: lift protocols and certificates, visit photos and signatures, documents attached to invoices, purchases and journal entries (PDF or image, up to 20 MB).
  • An encrypted backup is made every night in a separate place: daily copies for 14 days, weekly for 8 weeks, monthly for a year.
  • Only your company's people have access, by role. Attached accounting documents open only after signing in.
11

Accounting software and the NRA

  • LiftexPro can be your main accounting system, or feed your accountant.
  • Data leaves for other programs as Excel (trial balance, entries, balance sheet, income statement, payroll sheet).
  • There is no direct sync with Microinvest, Ajur, Plus-Minus or another program. Tell us which one your accountant uses and we build an import file in its format.
  • VAT: the NRA files (DEKLAR.TXT, PRODAGBI.TXT, POKUPKI.TXT per Annex 12 of the VAT regulations) are downloaded from Accounting → VAT and uploaded to the NRA portal. Declarations form 1 and 6: the amounts are calculated from the payroll; the NRA file is not ready yet, as it needs each employee's days, hours and absences, which the payroll does not record yet.
12

Demo

  • demo.liftexpro.com: sign in with one button as Manager, Technician or Building manager of a demo company. The demo company is shared by every visitor, so do not enter real data there.
  • demo.liftexpro.com/login?tour=1: a three-minute guided tour.
Frequently asked questions

What people usually ask first.

5 QUESTIONS
01

How does onboarding start?

We usually begin with a short conversation about your team, sites, tasks and document flow, then configure roles and prepare the working structure.

02

Can the system be shown with ready-made data?

Yes. We have a separate demo environment where real flows for a manager, a technician and a building manager can be shown, with no risk to customer data.

03

Is there a mobile app for the field team?

Yes. The app is available for iOS and Android and covers tasks, navigation, checklists, photos, comments and notifications.

04

Is it suitable for companies with more than one team?

Yes. LiftexPro is built to work with multiple technicians, multiple sites, separate companies and central office control.

05

What happens with accounting and documents?

Offers, contracts, invoices, payments and reporting are kept in one system, so there are no separate lists and no manual re-entry.
